Accept the platform terms

Stay n Host is a software platform; your business runs the workspace and is responsible for the data in it. Two documents set that out, and each is accepted with a tick box before you use the app.

Document Who accepts it What it covers
Customer Terms and the Data Processing Agreement One person on behalf of the business, once per workspace for each version The agreement between your business and Stay n Host. The Data Processing Agreement is part of the Customer Terms, so accepting one accepts both.
Workspace User Terms Every person who works in the workspace Your own use of the app. Stay n Host provides the software; the workspace that invited you controls its data and your access.

The Privacy Policy explains how personal data is handled.

  • Creating a workspace. The last step of Create your workspace is a required box: “I accept the Customer Terms and the Data Processing Agreement on behalf of my business, and I confirm I am authorised to do so.” Create workspace stays unavailable until it is ticked.
  • Joining a workspace. When you open an invitation, the same screen that says Accept invitation asks you to accept the Workspace User Terms.
  • Each new version. Every version of the terms is dated. When a new one is published, the next time you open the workspace you see Before you continue instead of the app.

The screen names the workspace, says that it is responsible for the data in it, and lists the documents you still owe, each with a tick box and a link to read it. If you accepted earlier terms, it says these are an updated version.

  1. Read the documents (each opens on the public site).
  2. Tick each box.
  3. Press Accept and continue. The app opens where you were going.

There is also a Sign out button, the only other way out of this screen. Nothing in the workspace can be used until the terms are accepted.

The Customer Terms are accepted once per workspace for each version, and only by a person who can change the workspace’s settings (an Admin, for example). Everyone else is never stopped by them: if nobody has accepted the current Customer Terms yet, the people who cannot accept for the business carry on as normal, and the next admin to open the workspace is asked.

The Workspace User Terms are personal. Each person accepts them for themselves, in each workspace they belong to.
