Inquiries & quotes
An inquiry is a conversation that might become a booking. This area is the funnel that turns it into one.
| Where | What it’s for |
|---|---|
| Reservations -> Inquiries | Every inquiry: guest, dates, source (WhatsApp, Airbnb, manual), and stage, with the conversion funnel above the list. |
| The inquiry record | Tabs for the overview and quote builder, Payment screenshots, Messages (the live chat), and Send to guest, under a lifecycle rail that says what happens next. |
| The quote link | The public page your guest sees - itemized quote, your letterhead, payment details, proof upload. No login, no app. |
Inquiries are the first stage of the Reservations list; an inquiry and the booking it becomes each name the other, so you can move between them in one click.
The flow, step by step
Section titled “The flow, step by step”- A first message from an unknown number opens an inquiry automatically - walk-ins and calls you record by hand.
- You quote the stay and send the quote link.
- The guest pays and uploads a proof screenshot; the unit goes on a two-hour hold.
- Your team reviews the payment screenshots against the amount due, and a seat that verifies payments (Account Manager, Point of Contact or Booking Manager) confirms the unit - the inquiry is now a booking.
The whole story as one worked example is Your first booking.
Good to know
Section titled “Good to know”- Group inquiries hold several units under one guest and convert together.
- An expired hold releases the unit automatically - nothing to clean up.
- Editing a quote revokes the old link - a guest can never act on a stale price.
- Sources are honest: an Airbnb inquiry shows its channel and keeps its chat synced.
- Inquiries that go nowhere are declined, rejected, or closed with a reason, and stay on record. Only an inquiry entered twice by mistake is deleted, as a duplicate.
- The conversion funnel shows how far the inquiries of the last 7, 30 or 90 days got, and opens the ones that stalled.
