Record condition evidence on a booking
The booking’s Condition tab is the stay’s own evidence record: how the unit was handed over, how the guest left it, and anything damaged or missing. Keeping it on the booking means a claim weeks later is answered from here.
The two phases
Section titled “The two phases”The tab shows two sections - Before check-in (“How the unit was handed over. This is the proof that damage found later was not already there.”) and After check-out (“How the guest left it. Attach this before you check the stay out.”).

Open the Condition tab on the booking and pick the phase you are documenting.

Press “Add photo or video” and upload straight from your phone. An optional caption field takes a note about each file.

Check the timestamps. Each file shows two times: Taken - read from the file’s own data, which anyone holding the file could edit - and Uploaded, stamped by the system, which cannot be. The pair is always shown together.

Record any damage. In the Damage section, press Record damage, choose Something was damaged or Something is missing, describe what you found, and optionally add an estimated cost. The estimate is for the record only - nothing is charged or posted - and the report lands on the damage board and the next daily follow-ups report.
When evidence is required
Section titled “When evidence is required”A workspace can arm either phase as required. Then check-in is blocked until something is attached under Before check-in, and check-out until After check-out has evidence - the transition itself refuses and points at this tab. A seat holding the booking-edit permission can skip the gate, but only with a written reason that is recorded on the booking.
Two shortcuts keep you from filming the same room twice:
- The cleaner’s photos count. “Before” photos taken on this stay’s turnover clean satisfy the departure evidence.
- The last turnover can carry over. If the unit was filmed after its last clean and nothing recorded says anyone has been in since, that footage stands as this stay’s hand-over record - the tab says so under From the last turnover, and tells you plainly when it cannot be used (no “after” photos, a block in between, or a readiness change).
