How inquiries open themselves
Two kinds of first contact open an inquiry with no one on your team lifting a finger. Both arrive with their chat attached - the inquiry’s Messages tab is the same thread as the inbox - and both are stamped as system actions in the audit trail.
A first WhatsApp message
Section titled “A first WhatsApp message”When a message arrives from a number your workspace has never seen before, the app creates the guest, opens the conversation, and opens an inquiry on it - with no dates and no unit, because a first “hi, do you have anything free?” names neither.
- The inquiry lands on the funnel list under the Needs details tile (“Arrived without dates”). Your job is to qualify it: reply on the Messages tab, then fill in the stay.
- A number you already know does not open a new inquiry - a returning guest asking about their booking is conversation traffic, and it lands in the inbox as usual.
An Airbnb reservation request
Section titled “An Airbnb reservation request”On a connected Airbnb channel, a reservation request becomes an inquiry with the stay dates filled in. If the Airbnb room type is mapped to one of your listings, the property and unit type come along too; the channel’s expected payout is recorded on the inquiry as a labeled fact - it is never treated as your quote. The Airbnb chat stays synced on the Messages tab, both directions, including replies your team sends from the Airbnb app itself.
The duplicate guard
Section titled “The duplicate guard”The same guest asking about the same stay never mints a second inquiry - a new message lands on the existing one instead. Closed inquiries do not block: a guest whose earlier ask was declined or already became a booking can open a fresh one.
What’s next
Section titled “What’s next”- Record an inquiry by hand - for everything that does not arrive by message
- Quote the stay
