Statuses glossary

These are the exact status vocabularies the system stores - no value is missing and none is invented. A status changes only along its legal transitions; an illegal jump is refused with the record unchanged, whoever (or whatever) attempts it.

The pre-booking funnel, on Inquiries.

Status Meaning
new_inquiry Just arrived; not yet quoted.
quoted A quote is out. Re-quoting during negotiation stays here (each pass audited, and any live quote link is revoked so the guest can’t hold an old price).
payment_requested The payment ask went out against the quoted figure.
locked_pending_payment_verification The guest submitted proof; the unit is held while a human verifies. No re-quote is possible from here - reject the proof first.
converted_to_booking Payment verified; a booking was born. Terminal.
not_available The waitlist: nothing free right now. Not terminal - a re-quote walks it back into the funnel when inventory frees up.
expired_inquiry The hold lapsed unverified. Terminal.
rejected_by_policy Rejected by the operator. Terminal.
cancelled_by_guest The guest declined. Terminal.

A booking is born confirmed (by payment verification). Check-in, check-out, and no-show are operator actions; the mid-stay steps advance automatically with the calendar date.

Status Meaning
confirmed Live and upcoming.
verification_pending Parked behind the ID gate - verification was requested on the stay.
ready_for_check_in Cleared for arrival.
checked_in The operator checked the guest in.
in_house Mid-stay (advances automatically the day after arrival).
checkout_today Departure day - or an overdue checkout awaiting the operator’s confirmation. Never auto-completed: the physical departure is a human call.
checked_out The operator confirmed departure.
completed The stay is fully closed (after checkout, once the booked dates have elapsed). Terminal.
cancelled Cancelled (Guest Manager only). Terminal.
no_show The guest never arrived (Guest Manager only). Terminal.
Status Meaning
not_received Expected; nothing has arrived.
proof_received The guest’s proof landed (e.g. via the quote link) - a claim, not yet money.
pending_verification In the Account Manager’s queue.
verified A human confirmed it. This is the moment ledger entries post and an inquiry converts.
rejected The claim didn’t hold up.
refunded Paid back through the refund flow.
partial_pending Part has been verified; the rest is still expected.

One check per guest per stay, on Guest Screening.

Status Meaning
not_requested The check exists (from booking confirmation) but documents haven’t been asked for.
requested The guest was asked (usually via the ID upload link).
received Documents landed; awaiting a human decision.
passport_required Marked as a foreign guest - a passport is the required document.
mrc_required Marked as a couple with mismatched ID addresses - an MRC is required.
verified Approved from fresh documents, or carried forward by a human from a prior verified stay. Satisfies the ID half of the lock-code gate.
rejected The documents didn’t pass.
revoked A previously verified check was withdrawn (human-only, reason required).
waived A human skipped this guest’s check. Non-blocking for the stay, but not verified - it does not release a door code.

Cleaning tasks (the turnover chain; each assignment is its own record):

Status Meaning
unassigned Planned on the calendar; nobody dispatched yet.
assigned Issued to a cleaner, not started.
in_progress Cleaner on site.
completed Cleaned; an inspection is enqueued.
reassigned Closed because a new assignment superseded it.
aborted Closed on a cleaner no-show or abort; the unit reverts to dirty.

Inspections (every checkout spawns one):

Status Meaning
pending_inspection Waiting for an inspector.
clear No issues; the unit can go Ready.
damage_found A damage report was opened.
extra_cleaning_required Not clean - this round closes and a new cleaning task is issued.
item_missing A missing-item damage report was opened.
escalated Routed to the Conflict Resolution Manager.
resolved The linked damage report closed; the unit can go Ready.

Unit readiness (system-managed; what the board’s colors mean): vacant, booked, occupied, checkout_today, dirty, cleaning_assigned, cleaning_in_progress, inspection_pending, ready, maintenance_required, blocked.

Status Meaning
pending Born at booking confirmation; the lead window hasn’t opened.
armed Window open and the dual gate is clear - ready on Today.
held Window open but the gate denied (unpaid, or ID unverified); re-checks every tick.
relayed_to_poc The POC revealed the code to themselves (audited; the value never enters the audit trail).
handed_to_guest Hand-off complete. Terminal.
cancelled The booking was cancelled or no-showed. Terminal.
