Refund a guest
Refunds run as a request-and-decide pair: one action files how much and why, a separate action pays or rejects it. Nothing leaves your books until someone clicks Pay refund and confirms.
Where refunds live
Section titled “Where refunds live”The Refunds panel sits on the booking’s Overview tab - and only on a cancelled or no-show booking that has verified money on it. It opens with three figures: Paid by guest (verified cash), Refunded (refunds already paid), and Refundable (what’s left to give back).
Request a refund
Section titled “Request a refund”-
Cancel the booking first if it isn’t already - a cancellation always records your reason. Only a cancelled or no-show booking can be refunded.

In the Refunds panel, enter the amount in whole currency. It can’t exceed the refundable figure - the app refuses a request over capacity.

Give the reason. It’s mandatory (e.g. “cancelled 10 days out, full refund per policy”) and stays on the refund row for whoever decides it - and for whoever reads the books later.

Click “Request refund.” The row appears as Awaiting decision.
Decide a request
Section titled “Decide a request”A seat with the approval capability sees Pay refund and Reject on each pending row.
- Pay refund opens a confirmation - “{amount} goes back to the guest and posts to the ledger. This cannot be undone from here.” Confirm with Yes, pay refund and the outflow posts.
- Reject closes the request; the reason it was filed with stays on the record.
Attach the transfer evidence as Refund proof on the booking’s Payments tab.
